Booking software for plumbers: choose by the job

Choose VOCA for the first customer contact about visits, installations and callbacks. Then plan the job in your booking or work-order system, with staff confirming what needs to be done.

Our recommendation

VOCA first, from enquiry to next step.

Start with VOCA where the customer gets in touch. It can receive the enquiry and pass it into your planning process. A booked assessment does not promise when the whole job will be finished.

  • One assistant for customer contact

Phone, web chat, email, SMS, Instagram and Messenger, through your enabled channels.

  • A clear next step

Receive the customer’s location and preferences as input for staff planning.

  • Book after checking availability

Use a connection that supports the booking. Let staff confirm jobs that need assessment.

We have connections to BokaMera, Coredination and Blikk. Read their scope and test each in your setup. The job connections schedule one selected person per visit. Crews, travel and materials still need checks. VOCA connections to ArboStar, Jobber, Fieldly and Bygglet are not verified in this guide.

Three different needs

What should the booking lead to?

The customer chooses a visit

Use this process for a visit with a defined scope and duration. Test available times, address collection, changes and cancellations. Check which calendar staff follow.

You plan the work

Use this process when duration, materials or staffing varies. Test how a request becomes a quote and a planned job. Check the mobile view and how changes reach the office.

Staff confirm the next step

Use a handoff when staff must assess a request before booking. Record the callback, owner and status. Test customer updates after the decision and how unanswered requests are followed up.

Five systems to consider

Supplier descriptions are a starting point. The fit column is our assessment. The order is not a ranking.

Systems, published features and our assessment of fit
SystemThe supplier describesMay fit when…
BokaMeraAppointments

Online booking for services with available times, a calendar and reminders. Staff and resources can have separate schedules.

Try BokaMera when customers mainly need to choose a quote visit or another defined appointment. Test the calendar rules with your services.

Cost to check

Request the total cost for your resources, reminders and any payments.

CoredinationJobs & field work

Work orders with instructions, photos, time and resources. Job status and reports carry through to invoice records.

Try Coredination when you mainly need to assign jobs to plumbers and follow work orders in the field. Test the office and field roles.

Cost to check

Subscriptions per user. The plan determines which planning features are included.

BlikkJobs & field work

Quotes, work orders and resource planning, with mobile time, travel and material reporting. Records can continue into invoicing.

Try Blikk when quotes, staffing, time and materials need to stay connected. Test a job whose scope changes.

Cost to check

Plans and licence types for different roles. Check add-ons and billing periods.

FieldlyConstruction & installation

Work orders and projects for trades including plumbing, with time, travel and materials. A signed quote can become a work order or project.

Try Fieldly when you want to follow installations and service jobs with material records. Test your wholesaler, field reporting and office review.

Cost to check

Plans and user count determine cost. Check minimum users and billing periods.

ByggletConstruction & installation

For plumbing: quotes, resource planning, work orders, time and materials. A digitally accepted quote can become a project.

Try Bygglet when you want quotes, work orders and follow-up around the same job. Test who owns each step.

Cost to check

Packages based on company size. Extra licences, EDI and invoice delivery can add costs; check the contract term.

Compare the total cost for the same people and workflow. Request a written quote with currency, tax, billing period, contract term, add-ons and setup.

Ask the supplier to show this

These are tests for a demo. They do not mean a feature is missing.

BokaMera

Can customers book the quote visit while the installation time needs our decision? Show changes, cancellations and two attempts to book the same slot.

Coredination

Show how the office prioritises a new request and assigns a plumber. What does the plumber see when the job moves or needs another owner?

Blikk

Show a quote visit that becomes a longer job. What happens to staffing and job records when the customer changes the scope after approval?

Fieldly

Show a wholesaler purchase with an RSK product number and a material return on the same job. How does the office review the records before invoicing?

Bygglet

Show the steps from an approved quote to a work order and invoice records. Which user roles, add-ons and fees does our workflow need?

Test before deciding

Follow the same job from start to finish

Test a plumbing job with two different needs

A test customer wants to replace a water heater and chooses a site visit. You need to assess the scope, materials and staffing before confirming installation. A request for a quick callback arrives that day. Check its owner and status. Keep submitted requests distinct from times confirmed by staff.

  1. Use a test customer. Book a quote visit and check that the correct time and address reach the calendar staff actually use.

  2. Let staff plan the installation after the visit. Check staffing, materials and what happens when the customer asks for another day.

  3. Send a request for a quick callback. Check the owner, status and customer update before any appointment time has been confirmed.

  4. Complete the test job. Follow time and materials into the invoice records. Then request a written total price for the roles and functions you used.

Common questions

What is the best booking system for plumbers?

This guide does not name an overall winner. Choose based on your usual jobs and test the full process. A working quote visit does not prove that planning a larger installation suits your business.

Can customers book the installation directly?

Test this with your own rules. If you first need to assess the scope, materials or staffing, let the process collect a request or book a visit. Staff can then confirm the next step.

How do we compare the actual cost?

Use the same number of office roles and plumbers in both quotes. Include the modules, connections and invoicing processes you need. Ask the supplier to state the payment period, VAT, contract term and any fees in writing.

About this guide

How we selected the systems

VOCA publishes this guide and sells AI receptionists. We selected systems that show three approaches: appointments, work orders and industry planning. The list is not exhaustive. Our assessment uses suppliers’ public pages, not comparative product testing or customer ratings.

The links beside each system show the evidence. We reviewed the pages on the stated date. Some pages were read through a search service’s retrieved version when direct access was blocked. Features, plans and local availability can change. Ask the supplier to show your Swedish workflow in the offered plan.
