Field service system for construction, transport and equipment hire

Bim books jobs straight into your Coredination.

Bim takes the call, works out who is free and puts the job on the right person. You see it in the planning view immediately, and the installer gets it in the app.

CONNECTING

Four steps

  1. 1Get an API key in Coredination and paste it into VOCA.
  2. 2Enter the email addresses of the installers Bim may book. VOCA resolves each one immediately and tells you if somebody does not exist.
  3. 3Set how long a normal visit runs, so Bim knows how much time a job takes.
  4. 4Done. Bim books from the next call, and changes you make in Coredination show up straight away.
A TEST YOU CAN FOLLOW

See what happens in your system

This is a test plan, not a customer result. Ask us to show the flow with test details in a demo. Then repeat the test in your connection at an agreed test time.

Example: A customer wants a service visit. You have selected the installers VOCA may schedule and the service duration.

Example flow

  1. VOCA reads jobs for the period and compares them with your selected installer roster.
  2. If a selected installer is free for the whole visit, VOCA checks the jobs again before writing.
  3. VOCA creates a Coredination job, assigns an installer and saves a booking record in the portal.

What to test

  1. Create a test job occupying all selected installers. Ask for the same time and check that VOCA does not schedule an installer who is already busy.
  2. Book a test visit. Check the installer, start, end, service and note in the job. Also try a move and cancellation.
  3. Move a test job in Coredination. Then check availability and the portal record. Also check that the installer roster is still correct.

How to assess the result

Staff find a job with the correct installer and times in Coredination. The portal record must match. After cancellation, the job must be cancelled and the installer available to schedule again.

Ask the person who uses the system to check the result. Record the date, selected service, what the assistant said and what the system shows. A successful test shows that this particular flow worked. It does not show a specific number of new customers or revenue.

Limits to know

  • Coredination does not provide a list of appointment slots. VOCA computes free capacity from jobs and your selected installer roster. Coredination can allow overlaps added by staff or other apps.
  • You must keep the installer roster and service durations correct. A job does not prove that travel time, materials or specific skills fit. Customer linking can use an existing customer; VOCA does not create a new register entry.
LIMITS

What Bim will not do here

We spell this out because it is cheaper for everyone to know up front than to find out with a guest on the phone.

  • The installer list cannot be fetched automatically, because Coredination has no way to list users. When somebody leaves you have to remove them, or Bim keeps booking jobs onto a person who is gone.
  • An empty list means Bim says everything is full, every time. So VOCA refuses to finish the connection until at least one installer is on it.
  • Bim counts one installer per job. If three people need to go out on the same visit, add them in Coredination afterwards, exactly as you do today.

QUESTIONS

About this connection

Can Bim book a specific installer?

Bim books whoever is free at the time the customer wants. If they ask for a particular person and that person is busy, Bim says so plainly rather than quietly booking somebody else.

What if we add a job by hand at the same time?

It blocks the time for Bim too. Capacity is read from the same jobs your own planning view shows, so a job you enter yourself counts immediately.

Do you create customers in our register?

No. Your customer register feeds your invoicing, and filling it with near-duplicates cannot be undone. Bim links the job to an existing customer only on an exact name match, otherwise the customer's details sit in the description.
