Booking system

Bim books into your BokaMera.

BokaMera already knows which times are free, which services you sell and how long they take. Bim asks and books. We compute nothing ourselves.

CONNECTING

Four steps

  1. 1Order the API licence from BokaMera and ask for the key plus credentials for the API user.
  2. 2Open Integrations in the portal, pick BokaMera and paste the details in.
  3. 3Choose which service Bim should book by default when the customer does not say.
  4. 4Book a test slot through your own number and check it appears in BokaMera.
A TEST YOU CAN FOLLOW

See what happens in your system

This is a test plan, not a customer result. Ask us to show the flow with test details in a demo. Then repeat the test in your connection at an agreed test time.

Example: A customer wants to book a tyre change. The service exists in your connected BokaMera and has its own times and resources.

Example flow

  1. VOCA matches the requested service to your connected services. If there is no match, it uses your selected default service, or the first service in the list if no default exists.
  2. VOCA asks BokaMera for available times for the selected service. It checks the time again when creating the booking.
  3. VOCA uses the start time and the end time supplied by BokaMera. If the end time is missing, it uses the configured service or visit duration. The result is also saved in the VOCA portal.

What to test

  1. Ask for two different services in separate test calls. Check that each booking uses the correct service and duration.
  2. Fill a test time in BokaMera and ask for it. VOCA must not confirm a time without capacity for the selected service.
  3. Try moving and cancelling the test booking. Check BokaMera and the portal. Also ask for an unknown service and check which default service is selected.

How to assess the result

Staff see the correct service, resource, start, end and status in BokaMera. The portal record must match. A booking awaiting approval must not be described as confirmed.

Ask the person who uses the system to check the result. Record the date, selected service, what the assistant said and what the system shows. A successful test shows that this particular flow worked. It does not show a specific number of new customers or revenue.

Limits to know

  • Each booking uses one BokaMera service. An unknown service can use the default. Test the names your customers use for services before you start.
  • VOCA uses BokaMera’s available times and booking responses. Changed services, permissions or a broken connection need checking. A connection error must not be replaced with an invented available time.
LIMITS

What Bim will not do here

We spell this out because it is cheaper for everyone to know up front than to find out with a guest on the phone.

  • Bim books one service at a time. A visit that needs three services back to back is something staff put together.
  • Bim does not change your services, schedules or resources. Reading availability and writing bookings, nothing else.
  • The service is matched by name against what was fetched at connect time. Rename a service in BokaMera and the connection needs refreshing, otherwise that booking falls back to your default service.

QUESTIONS

About this connection

Does Bim see the same times as our online booking?

Yes, it is the same endpoint. Book through your own site and the time leaves Bim's list; book through Bim and it leaves your site's list.

Do we have to pay BokaMera extra?

The API licence is an add-on on their side and costs what they charge for it. We add no markup and nothing per booking.

What if BokaMera is down?

Bim stops offering times and hands over to staff rather than booking blind. The error shows with a timestamp under Integrations in the portal.
