Calendar

Bim books straight into your Google Calendar.

The calendar is already your booking book. Bim reads it to see what is free and writes the booking into the same calendar, where staff are already looking.

CONNECTING

Four steps

  1. 1Open Integrations in the portal and pick Google Calendar.
  2. 2Sign in with Google and approve calendar access.
  3. 3Choose which calendar Bim should book into.
  4. 4Call your own number and book a test slot. It should be in the calendar before you hang up.
A TEST YOU CAN FOLLOW

See what happens in your system

This is a test plan, not a customer result. Ask us to show the flow with test details in a demo. Then repeat the test in your connection at an agreed test time.

Example: A customer wants to book a visit. You have selected a calendar, a visit duration and the number of simultaneous bookings allowed.

Example flow

  1. The customer gives a date and time. VOCA reads events that overlap the full visit in the connected calendar.
  2. If there is space within your limit, VOCA checks the calendar again before creating an event.
  3. A successful booking creates a Google Calendar event and a booking record in the VOCA portal.

What to test

  1. Add a busy event over the test time. When all simultaneous places are occupied, the time must not be booked.
  2. Try an event marked as free and a busy all-day event. The free event must not block; the busy all-day event must count.
  3. Book, move and cancel a test visit. Check the date, time zone, duration and status in the calendar and portal after each step.

How to assess the result

Staff find the same test visit in the correct calendar and the portal. It has the right time and configured duration. Cancellation must leave no active calendar event.

Ask the person who uses the system to check the result. Record the date, selected service, what the assistant said and what the system shows. A successful test shows that this particular flow worked. It does not show a specific number of new customers or revenue.

Limits to know

  • Capacity counts events, not people, tables, specific skills or travel time. The calendar must include the events that should block the time.
  • Checking and writing are separate steps. A person or another app can add an event between them. VOCA coordinates its own bookings, but the calendar does not guarantee that all overlaps are prevented.
LIMITS

What Bim will not do here

We spell this out because it is cheaper for everyone to know up front than to find out with a guest on the phone.

  • Bim sees whether a time is taken, not how many fit. A business that takes several parallel bookings at the same hour needs a real booking system instead.
  • The calendar is not a customer record. Guest history, tags and after-visit follow-up live in VOCA, not in Google.
  • A shared calendar where the connected account only has read access will not work. The account has to be allowed to write.

QUESTIONS

About this connection

Can Bim see what is in our other events?

Bim reads start and end times to know what is free, and writes new bookings. The contents of your other events are not used for anything else.

What if two guests want the same time at once?

The time is checked against the calendar at the moment the booking is created, not just when it comes up in the conversation. The second guest gets a fresh suggestion rather than a double booking.

Can we move to a booking system later?

Yes. One booking system is active per venue and you switch by connecting a new one under Integrations. The bookings already in the calendar are left alone.
