Calendar

Bim books straight into your Outlook calendar.

If you run Microsoft 365, the calendar is already where the day gets decided. Bim reads it to see what is free and puts the booking in the same place.

CONNECTING

Four steps

  1. 1Open Integrations in the portal and pick Outlook.
  2. 2Sign in with Microsoft and approve calendar access.
  3. 3Choose which calendar Bim should book into.
  4. 4Book a test slot through your own number and check it appears in Outlook.
A TEST YOU CAN FOLLOW

See what happens in your system

This is a test plan, not a customer result. Ask us to show the flow with test details in a demo. Then repeat the test in your connection at an agreed test time.

Example: A customer wants to book a visit in your Microsoft 365 calendar. You have selected the calendar, visit duration and number of simultaneous bookings.

Example flow

  1. The customer gives a date and time. VOCA reads calendar events that overlap the full visit, including recurring events.
  2. VOCA counts events that are neither cancelled nor marked as free. It checks the calendar again before booking.
  3. A successful booking creates an Outlook event and a booking record in the VOCA portal.

What to test

  1. Add a busy recurring meeting over the test time. When your simultaneous capacity is used, the time must not be booked.
  2. Try a meeting marked as free and a busy all-day meeting. Check that only the busy meeting counts.
  3. Book, move and cancel the test visit. Check the local time, duration and status in Outlook and the portal after each step.

How to assess the result

Staff find the test visit in the correct Outlook calendar and the portal with the same date and time. After a move, the new time applies. After cancellation, no active event remains.

Ask the person who uses the system to check the result. Record the date, selected service, what the assistant said and what the system shows. A successful test shows that this particular flow worked. It does not show a specific number of new customers or revenue.

Limits to know

  • The connection uses calendar events and your simultaneous booking limit. It does not count seats or decide who has the right skills for the visit.
  • Outlook can allow overlapping events. Another user or app can write between VOCA’s check and booking. Coordinating VOCA’s own bookings does not remove that limit.
LIMITS

What Bim will not do here

We spell this out because it is cheaper for everyone to know up front than to find out with a guest on the phone.

  • As with Google, Bim sees busy or free, not how many fit at once. If you need parallel capacity, a booking system is the right route.
  • Microsoft 365 Bookings is a different service from the calendar. That connection does not exist yet, and we would rather say so now than in a meeting.
  • Accounts with limited delegation can read but not write. The account you connect has to be allowed to create events.

QUESTIONS

About this connection

Does it work with a shared mailbox account?

Yes, as long as the account you connect may write to the calendar. Read access is not enough, because then Bim can see times but not put the booking in.

What if someone moves a booking in Outlook?

The calendar wins. Move an event and the old time becomes free for Bim while the new one is blocked, without anyone having to report it.

Do our bookings stay if we stop using VOCA?

Yes. They are ordinary calendar events in your own calendar and they belong to you, not to us.

Other systems

Outlook (Microsoft 365) is a trademark of its owner. VOCA is an independent vendor, not part of or endorsed by them. The logo is shown to identify which system the connection is for.
